It imposes on entities processing personal data the obligation to establish and implement robust policies, measures, and procedures to safeguard such data. This ensures the preservation of individual data privacy rights.

     Personal information controllers and processors are required to employ reasonable and appropriate measures to protect personal data from both natural and human-induced risks. These risks encompass accidental loss or destruction, as well as unlawful access, fraudulent misuse, destruction, alteration, and contamination.

To effectively communicate these measures to personnel, each personal information controller and processor is obligated to develop a comprehensive Privacy Manual. This document serves as a reference guide to ensure adherence to the DPA, its Implementing Rules and Regulations (IRR), and other relevant directives issued by the National Privacy Commission (NPC). The Manual outlines the specific privacy and data protection protocols to be followed within the organization, encompassing the entire data lifecycle from collection to destruction. Ultimately, these protocols aim to fulfill and uphold the rights of data subjects.

Requesting & Responding Party Security

As a personal information controller or personal information processor, an organization must implement reasonable and appropriate physical, technical and organizational measures for the protection of personal data. Security measures aim to maintain the availability, integrity and confidentiality of personal data and protect them against natural dangers such as accidental loss or destruction, and human dangers such as unlawful access, fraudulent misuse, unlawful destruction, alteration and contamination. In this section, you give a general description of those measures.

Physical Security

This section outlines the procedures for monitoring and restricting access to facilities containing personal data, including activities conducted within these facilities. It addresses the physical design of the facility, the arrangement of equipment and furniture, permissible data transfer methods, and the schedule and methods for data retention and disposal.

To make sure that the personal data from potential threats such as physical damage, tampering, or unauthorized access, the following provisions are implemented:

• Data Format: Personal data maintained by the WAO is stored in either digital/electronic or paper-based formats, depending on the specific needs and purposes of the organization.
• Data Storage: Paper-based documents containing personal information are securely stored in locked filing cabinets within a designated room at the ALERT Multi-Purpose Building. Digital/electronic files are stored on password-protected computers accessible only to authorized personnel, specifically the IT Administrator.
• Country: Refers to the Philippines, where WEAMP and its founders are based.
• Access Procedures: Only the Super Admin or known as the IT Administrator, and designated SEADO personnel are authorized to access stored personal information. Any access requests must be reported to the IT Administrator.
• Access Monitoring: Authorized personnel accessing stored personal data are required to log their entry and exit times, duration of access, and purpose of access in a designated log book maintained by the IT Administrator.
• Physical Security: Workstations are arranged to prevent unauthorized viewing of personal data, such as through physical dividers..
• Data Handling: Personnel involved in data processing are obligated to maintain the confidentiality and integrity of personal data. Unauthorized photography or video recording is strictly prohibited.
• Data Transfer: The transfer of personal data via email must be conducted using secure email facilities with encryption. The IT Administrator may monitor such transfers in cases of suspected unusual activity.
• Data Retention and Disposal: Personal data is retained in accordance with specific retention schedules based on its type and format. Upon expiration, both physical and electronic copies are securely destroyed using appropriate methods.

Technical Security

To make sure that the processing of personal data, personal information controllers and processors must implement a technical security measures. These measures should encompass appropriate and sufficient safeguards for the computer network, including encryption and authentication protocols to control and limit access.

• Security Monitoring: The WAO will install and maintain up-to-date antivirus software on all internet-connected devices. Additionally, the IT Administrator will regularly review firewall logs to detect and report any unauthorized access attempts to the WAO network.
• Software and Application Security: Before installation, the IT Administrator will evaluate software applications for compatibility with the organization's security measures. Only legitimate and legally procured software will be used for official purposes.
• Security Testing and Evaluation: The IT Administrator, will conduct regular penetration testing to assess the vulnerability of the firewall from both internal and external sources. These tests will be scheduled outside of working hours to minimize disruptions.
• Access Controls and Authentication: Personnel accessing personal data must undergo a secure authentication process involving multi-factor authentication. The IT Administrator will provide guidance to staff on accessing personal data.

Data Subject Rights and Complaint Procedures

This section outlines the rights afforded to individuals (referred to as "data subjects") regarding their personal data processed by the personal information controller or processor. These rights include:

1. Right to Access:
   • Data subjects have the right to obtain reasonable access to their personal data undergoing processing.
2. Right to Rectification: Individuals possess the right to challenge the accuracy or completeness of their personal data.
3. Right to Erasure: Data subjects are entitled to request the suspension, withdrawal, blocking, removal, or destruction of their personal data under specific circumstances.
4. Right to Complain and Seek Compensation: Individuals have the right to lodge a complaint and seek indemnification for any damages resulting from inaccurate, incomplete, outdated, false, unlawfully obtained, or unauthorized use of their personal data.
